Inventory Visibility: Stop Booking Jobs for Parts You Don't Have

The call goes like this:

CSR: "Great, we have a tech available Thursday to install that generator." Customer: "Perfect, I'll take off work."

Thursday Morning: Tech: "Boss, the warehouse is empty. We don't have the unit." CSR: (Calls customer) "I'm so sorry..."

This destroys your reputation. And it's purely a data problem.

The Disconnect

Your CRM says you have "2" in stock. Your warehouse actually has "0" (because someone grabbed one and didn't scan it). Or your supplier said they had it, but they sold it yesterday.

The Live Inventory Layer

You cannot rely on manual counts. You need a Live Inventory Bridge.

Step 1: Supplier Sync Connect your booking tool to your supplier’s API (Ferguson, etc.). When the CSR quotes a part, the system checks their stock in real-time.

Step 2: The "Commit" Hook When the job is booked, the AI Layer immediately fires a "Provisional Order" or a "Stock Alert" to the warehouse manager. "Job booked for Thursday. Verify visual on Unit #123 by 5 PM today."

Step 3: The Pre-Flight Check 24 hours before the job, the system texts the tech: "Verify you have these 3 parts in your truck." If they don't reply "Yes", the job is flagged for the dispatcher immediately.

Stop the Drift

Inventory "drift" is natural. But booking jobs on ghost inventory is a choice.
